Internal Rules and Regulations

(Applicable to all vocational/professional training courses)

Article 1 – Purpose and Scope

These internal rules and regulations set out the general, permanent, and mandatory rules applicable to all training activities delivered by Sound Academy by Studiomap, a vocational training provider registered with the DREETS.

They are established in accordance with Articles L.6352-3 to L.6352-5 and R.6352-1 to R.6352-15 of the French Labour Code and apply to any person enrolled in a training course organized by Studiomap SAS / Sound Academy, whether as an employee, job seeker, self-employed person, or individual trainee.

1.1 Purpose and Legal Effect

These rules aim to:

  • ensure the proper educational and administrative delivery of training,
  • ensure safety, health, and mutual respect among trainees and trainers,
  • define the rights and duties of everyone in a professional context, and
  • protect the legal and contractual liability of Studiomap SAS / Sound Academy, especially toward funders, trainees, and partner third parties.

These rules have contractual value: they supplement the provisions of the training agreements or contracts signed between Studiomap and trainees and are binding on all participants from the time of enrollment.

1.2 Geographic and Material Scope

These rules apply to all training activities, whether:

  • delivered at Sound Academy premises,
  • held at a partner site, company, or studio made available, or
  • provided remotely (e-learning, virtual classes, online mentoring, blended learning).

They also apply to:

  • all digital tools and platforms provided (videoconferencing, LMS, upload platforms, Google Classroom, Slack, Discord, etc.), and
  • any use of equipment, premises, or data belonging to Studiomap / Sound Academy.

These rules apply without exception, even where local rules apply in addition (e.g., those of a partner studio). In case of conflict, the internal rules of Studiomap / Sound Academy prevail.

1.3 Trainee Acceptance and Commitment

Any enrollment in a training course implies:

  • full review of these rules,
  • unconditional acceptance of all clauses, and
  • a commitment to strictly comply throughout the training, including any additional sessions (coaching, remote work, assessments, post-training follow-up, etc.).

Acceptance is formalized by signing:

  • the training contract or agreement, and
  • where applicable, any additional documents (charter, commitments, GDPR consent, etc.).

No claim, dispute, or compensation request may be brought against Studiomap / Sound Academy for events or consequences resulting from a trainee’s failure to comply with these rules.

1.4 Liability of Studiomap / Sound Academy

Studiomap SAS / Sound Academy acts as a training provider and not as an employer. Therefore:

  • it may not be held liable for damage caused by a trainee to third parties, equipment, or themselves due to wrongful or negligent conduct;
  • it may not be held liable for incidents, delays, or absences caused by external events (strike, internet outage, software failure, force majeure, etc.);
  • any interruption or program change decided for educational, technical, or legal reasons shall not give rise to compensation.

The organization reserves the right to refuse or exclude a participant for non-compliance, and no full or partial refund may be claimed.

1.5 Communication and Accessibility

These rules are:

  • provided individually to each trainee before training begins,
  • available digitally on educational and administrative media (email summons, platform, welcome booklet), and
  • accessible at any time on the official Sound Academy website.

They are also accessible to persons with disabilities and may be explained orally or adapted upon request to the disability contact person (timothee@sound-academy.co).

1.6 Amendments and Enforceability

Studiomap / Sound Academy reserves the right to amend these rules at any time:

  • to reflect legal or regulatory changes,
  • to adapt to new training formats, or
  • to meet quality and safety requirements linked to Qualiopi certification.

The updated version becomes enforceable upon publication, without mandatory individual notice. Participation in any session after an update constitutes implicit acceptance of the updated version.

Article 2 – General Participation Conditions

2.1 General Principle

Participation implies a firm and reciprocal commitment between the trainee and the training provider. The trainee agrees to attend with diligence, punctuality, and seriousness, according to the training objectives and arrangements defined in the official program and the training agreement or contract signed in advance.

Studiomap / Sound Academy undertakes to implement the human, technical, and educational resources necessary for the proper delivery of training, within the limits of an obligation of means and not an obligation of results.

2.2 Mandatory Attendance and Punctuality

The trainee must:

  • attend all lessons, workshops, and assessments,
  • be present at the scheduled times,
  • sign attendance sheets daily (or validate digital attendance for remote training), and
  • actively participate in exercises and activities.

Any lateness, absence, or early departure must be justified in writing to the pedagogical contact person or administrative team.

Unjustified or repeated absences may:

  • be reported to the training funder (Pôle emploi, OPCO, CPF, company, etc.),
  • result in suspension or loss of funding, and
  • in case of recurring conduct, lead to disciplinary measures or permanent exclusion without refund.

2.3 Active Participation and Professional Conduct

The trainee must at all times maintain respectful, constructive, and professional conduct toward:

  • trainers and guest speakers,
  • administrative staff, and
  • other trainees.

This includes:

  • active participation in group and individual work,
  • compliance with trainer instructions,
  • appropriate use of equipment, digital tools, and learning resources, and
  • confidentiality regarding exchanges, content, and internal data shared during training.

Any inappropriate behavior (aggressiveness, obvious disengagement, inappropriate remarks, disparagement, unauthorized distribution of content, etc.) may justify immediate exclusion without compensation or refund.

2.4 Ethical and Professional Commitment

The trainee agrees to:

  • maintain a respectful, attentive, and fair attitude,
  • refrain from harming the image, reputation, or credibility of Sound Academy / Studiomap on social media or public/digital spaces,
  • respect intellectual property rights of training materials and content, and
  • not disclose confidential information regarding pedagogical processes, methodology, speakers, or partners.

Any breach constitutes serious misconduct and may lead to permanent exclusion and, where applicable, civil proceedings for reputational damage.

2.5 Trainee Responsibility

The trainee is personally responsible for:

  • their personal belongings during training,
  • proper use of provided equipment and software, and
  • compliance with safety and confidentiality rules.

In case of damage, loss, or theft of equipment made available, Studiomap / Sound Academy cannot be held liable, unless proven fault is established. Any deliberate damage or gross negligence may result in:

  • invoicing for damaged equipment, and/or
  • immediate exclusion without refund.

2.6 Force Majeure and Unforeseen Events

In case of force majeure (network failure, strike, health issue, trainer unavailability, public health crisis, technical incident, etc.), Studiomap / Sound Academy may:

  • postpone, modify, or reorganize all or part of the training,
    without giving rise to compensation, damages, or refunds.

Any rescheduled session remains due and will be reprogrammed within a reasonable timeframe.

2.7 End of Training and Assessment

The trainee agrees to:

  • take part in all planned assessments (formative, summative/certification, placement),
  • complete satisfaction and immediate evaluation questionnaires, and
  • where applicable, respond to post-training follow-up surveys as required under Qualiopi.

Failure to comply may result in non-issuance of the end-of-training certificate or certification.

2.8 Disclaimer (No Guarantee of Outcomes)

Studiomap / Sound Academy may not be held liable for:

  • the trainee not achieving professional objectives,
  • failure in an exam or certification due to lack of attendance or effort, or
  • misuse of skills acquired during training.

The provider’s obligation is one of means, not results.

2.9 Contractual Commitment and Enforceability

This article is contractually binding upon enrollment. Actual attendance at a session constitutes full acceptance of the above conditions. No trainee may claim ignorance of these rules to avoid obligations or challenge a decision of the organization.

Article 3 – Hygiene and Safety

3.1 General Principles

In accordance with Articles R.6352-1 to R.6352-6 of the French Labour Code, hygiene and safety rules aim to ensure the physical and moral protection of all trainees, trainers, and administrative staff.

Studiomap / Sound Academy implements measures to ensure a healthy and secure training environment in compliance with applicable legal requirements. However, it cannot be held liable for incidents or damage resulting from:

  • imprudent, negligent, or non-compliant conduct by a trainee, or
  • external or unforeseeable events constituting force majeure (accident, outage, technical incident, fainting, third-party act, etc.).

3.2 Compliance and Reporting

Each trainee must strictly comply with general and specific safety instructions applicable at the training venue, including:

  • evacuation procedures in case of fire or emergency,
  • rules for using teaching equipment, and
  • instructions given by trainers, the safety contact person, or the site manager.

Any accident, fainting, equipment incident, or physical/psychological harm occurring during training—including remotely—must be reported immediately to a pedagogical or administrative contact person. The trainee agrees to fully cooperate for reporting and administrative handling (report, testimony, statement).

3.3 Hygiene Rules

To maintain a professional and pleasant environment:

  • trainees must wear appropriate and clean attire,
  • keep their workspace clean, and
  • follow basic sanitary precautions (handwashing, distancing when relevant, equipment hygiene).

It is strictly prohibited to:

  • smoke, vape, or consume illegal substances on premises,
  • bring or consume alcohol,
  • bring or handle dangerous, flammable, or toxic substances, or
  • use equipment without authorization.

Non-compliance may lead to disciplinary measures up to immediate exclusion.

3.4 Use of Equipment and Premises

Trainees must use premises and equipment (instruments, computers, microphones, headphones, software, cameras, control rooms, etc.):

  • solely for training purposes,
  • according to trainer instructions, and
  • carefully and responsibly.

Any damage, loss, theft, or misuse is the trainee’s personal responsibility. Studiomap / Sound Academy may:

  • invoice repair/replacement costs, or
  • report the claim to insurers identifying the responsible trainee.

The organization is not liable for theft or loss of personal items on its premises or those of partners.

3.5 Digital Security (Remote Training)

For online training, trainees agree to:

  • use a secure personal digital environment,
  • not share credentials or access links,
  • not record or distribute training sessions without written authorization, and
  • report hacking attempts, technical incidents, or connection problems affecting security.

Studiomap / Sound Academy cannot be held liable for damage caused by misuse of personal equipment or security failures originating from the trainee’s network.

3.6 Access and Movement in Premises

Trainees may only access areas explicitly authorized by trainers or site managers. Access to technical areas, studios, administrative offices, or storage areas is strictly forbidden without supervision. Any breach is considered serious misconduct and may lead to immediate exclusion.

3.7 Prevention of Psychosocial Risks

Studiomap / Sound Academy is committed to preventing harassment, professional stress, and discriminatory behavior. Strictly prohibited are:

  • moral or sexual harassment,
  • any form of discrimination, intimidation, or mockery, and
  • any remarks or behavior undermining a person’s dignity.

Any trainee who witnesses or experiences such behavior is invited to report it immediately to the pedagogical contact person or management at:

An internal inquiry may be conducted, ensuring confidentiality and protection of the persons concerned.

3.8 Emergencies and Responsibility

In an emergency (accident, fainting, fire, threat, health alert, etc.), trainees must:

  • follow evacuation and safety instructions immediately,
  • remain under supervision of the trainer or responsible person present, and
  • not take risky personal initiatives without authorization.

Studiomap / Sound Academy cannot be held liable for aggravation of damage caused by failure to follow procedures or by unsupervised intervention.

3.9 Force Majeure and Temporary Suspension

In exceptional circumstances or force majeure (public health crisis, strike, damage, major technical failure, natural disaster, etc.), Studiomap / Sound Academy may suspend, postpone, or adapt training temporarily without giving rise to claims, compensation, or refunds. Trainees will be informed as soon as possible, and training will be rescheduled or continued remotely where feasible.

Article 4 – General Discipline

4.1 Purpose of Discipline

Disciplinary rules aim to ensure:

  • proper educational and administrative delivery,
  • group safety and cohesion, and
  • preservation of the reputation and integrity of Studiomap / Sound Academy.

All trainees agree to behave professionally, respectfully, and responsibly in physical premises and on digital spaces (videoconferencing, messaging, forums, learning platforms, social networks, etc.). Breaches may lead to disciplinary measures, without prejudice to civil or criminal proceedings in case of serious misconduct or proven damage.

4.2 Misconduct

Any act contrary to good order, ethics, safety, reputation, or proper functioning of training constitutes misconduct, including (non-exhaustive list):

A – Individual conduct:

  • refusal to follow trainer instructions,
  • repeated lateness, unjustified absences, early departures,
  • voluntary non-participation,
  • unauthorized phone/electronic device use,
  • inappropriate, aggressive, or disrespectful remarks.

B – Damage to equipment/premises/safety:

  • deliberate or negligent damage,
  • unauthorized use of software/instruments/IT systems,
  • introduction of dangerous substances/objects,
  • breach of hygiene or safety rules.

C – Reputation/ethics breaches:

  • defamatory statements or content harming Studiomap / Sound Academy, speakers, or partners,
  • publishing photos/videos/training content without written permission,
  • identity fraud, cheating, or assessment fraud,
  • breach of confidentiality or professional secrecy,
  • racist, sexist, discriminatory, or harassing remarks.

Any behavior harming the image, credibility, or reputation of Studiomap / Sound Academy, including on social media, is serious misconduct and may lead to immediate exclusion.

4.3 Disciplinary Measures

Depending on severity, Studiomap / Sound Academy may impose one or more of the following:

  • verbal or written warning,
  • written reprimand/probation and enhanced monitoring,
  • temporary exclusion (no refund/compensation),
  • permanent exclusion (no refund, no certificate/attestation, no transfer of rights),
  • report to the funder (OPCO, CPF, Pôle emploi, etc.),
  • civil or criminal action (damage, theft, defamation, reputational harm).

Measures are not exhaustive; the organization may assess severity and apply the most appropriate action.

4.4 Disciplinary Procedure

Any sanction other than an oral warning follows this process:

  1. written notice (email or letter) stating the alleged facts and inviting the trainee to a meeting;
  2. adversarial meeting where the trainee may provide explanations;
  3. reasoned decision notified in writing within 5 working days after the meeting;
  4. possible reporting to funders/authorities if required.

In case of serious misconduct or dangerous behavior, exclusion may be immediate and without prior meeting to protect group safety and continuity.

4.5 Permanent Exclusion and Consequences

Permanent exclusion results in:

  • loss of right to attend training,
  • non-issuance of certificate/attestation/skills block,
  • no full or partial refund, and
  • reporting to funders/authorities if necessary.

Where externally funded, exclusion may also terminate funding, with no recourse against Studiomap / Sound Academy.

4.6 Right of Defense

Before any sanction, the trainee has the right to:

  • present observations,
  • access their disciplinary file, and
  • be assisted by a representative of their choice (another trainee, trainer, legal representative).

The procedure respects neutrality, confidentiality, and proportionality.

4.7 Brand Image and Reputation

Any publication, dissemination, or statements (online or offline) likely to harm the image, reputation, credibility, or commercial interests of Studiomap / Sound Academy constitutes serious misconduct. The organization may:

  • exclude the trainee immediately,
  • seek damages for moral/economic harm, and
  • refer the matter to legal counsel for potential proceedings.

4.8 Suspension/Exclusion for Legitimate Reasons

Studiomap / Sound Academy may temporarily or permanently suspend access where a trainee:

  • jeopardizes safety, well-being, or the group’s work,
  • compromises training quality or balance, or
  • creates a serious disruption.

No refund or compensation is due unless management explicitly decides otherwise.

Article 5 – Dress Code and Conduct

5.1 General Principle

Trainees must maintain exemplary, professional, and respectful conduct reflecting the organization’s values of rigor, kindness, and excellence. These rules apply to in-person training, remote training, and any event/communication linked to training (social media, working groups, partner workshops, etc.). Compliance conditions continued participation and issuance of certificates/attestations.

5.2 Dress Code

Trainees must attend wearing clean, decent, context-appropriate clothing, respectful of collective standards and neutrality, avoiding any appearance/sign/message that is political, religious, provocative, or discriminatory. Access may be refused if attire is clearly inappropriate or disruptive.

5.3 Expected Conduct

Trainees must be punctual, diligent, engaged, listen and follow instructions, collaborate constructively, use appropriate language, and avoid any behavior harming group cohesion. Strictly prohibited: aggressive/defamatory/sexist/racist/discriminatory remarks, harassment, unauthorized phone/headphone use, and disruptive distractions. Repeated breaches constitute misconduct under Article 4.

5.4 Respect for the Learning Framework

Trainees agree to follow the program and methodology, respect schedules, not disrupt or publicly challenge sessions, and raise learning difficulties discreetly. Any deliberate disruption is serious misconduct; the organization may remove the trainee immediately without refund.

5.5 Use of Teaching Materials

Materials and tools provided are for learning only. Trainees must not reproduce, distribute, transmit, or use them for personal/commercial/competitive purposes without written authorization, and must return any materials if requested. Unauthorized reproduction/distribution may lead to civil and criminal proceedings.

5.6 Conduct on Digital Spaces

Online spaces are part of the training framework. Trainees must be courteous, professional, respect confidentiality, avoid irrelevant/inappropriate content, and not disrupt platforms. Screenshots or audio/video recordings are strictly prohibited without express authorization. Unauthorized sharing of pedagogical content engages the trainee’s personal liability.

5.7 Neutrality and Brand Image

Trainees must not use the name, logo, or image of Sound Academy / Studiomap without written authorization, nor present themselves as representatives/trainers/ambassadors without explicit mandate. Any harm to brand image is serious misconduct and may lead to immediate exclusion and legal action.

5.8 Interpersonal Relations

Trainees must maintain respectful, inclusive professional relationships. Prohibited: inappropriate remarks/gestures, intimidation, mockery, harassment, exclusion, manipulation, or disparagement. Breaches may lead to immediate reporting and disciplinary measures/exclusion without refund.

5.9 Psychological Safety

Trainees may report inappropriate behavior confidentially at:

Article 6 – Use of Equipment

6.1 General Principle

Equipment, software, and digital tools may be provided for strictly pedagogical use. They remain the property of Studiomap SAS / Sound Academy or partners. Use implies strict compliance with security, confidentiality, and IP rules. Any breach may incur the trainee’s personal (including financial) liability.

6.2 Use of Teaching Equipment

Provided equipment must be used only for training work, in accordance with instructions, with care and in line with electrical/technical safety rules. It is prohibited to use equipment for personal/commercial/competitive purposes, install/modify software, connect external devices without authorization, or access unrelated sites/platforms. Misuse/damage may lead to invoicing and/or immediate exclusion without refund.

6.3 Software and Licenses

Software is protected by IP law and used under valid licenses. Trainees must not copy, transfer, install, circumvent protections, or use outside the planned training scope. Violations may lead to civil/criminal proceedings for infringement.

6.4 Platform Access and Accounts

Credentials provided are personal and non-transferable. Trainees must not share credentials, download/redistribute materials without authorization, alter or delete platform content, and must log out after sessions. In case of compromise, liability may be incurred if negligence is proven.

6.5 Data, Backups, and Confidentiality

Training-related data is GDPR-protected and subject to pedagogical confidentiality. Trainees must not disseminate data beyond authorized use, should back up their work, and must respect other trainees’ files. Studiomap / Sound Academy is not liable for losses due to mishandling or external storage incidents.

6.6 Shared Digital Resources

Resources (samples, templates, tutorials, videos, internal docs) are copyright-protected and for personal, temporary use only. Any distribution/resale/commercial integration without written authorization is prohibited and may lead to exclusion, reporting to funders, and legal action.

6.7 Network Security

Trainees must use networks responsibly and must not attempt unauthorized access, install programs without approval, or interfere with systems. Hacking/intrusion/illegal downloading/security circumvention is serious misconduct and may be prosecuted.

6.8 Return of Equipment

Borrowed equipment must be returned at the end of the session in the same condition, with accessories, and verified jointly with staff. Non-return/loss/damage may lead to charging replacement value.

6.9 Liability and Insurance

Studiomap / Sound Academy maintains equipment but is not liable for accidents/damage caused by misuse or negligence. Trainees are encouraged to hold civil liability insurance covering damages they may cause. Proof may be provided by any means (witness statements, photos, reports, internal CCTV, etc.).

Article 7 – Recordings and Intellectual Property

7.1 General Principle

Training may involve creation/production of audiovisual, music, visual, or digital content. All training materials, recordings, exercises, creations, and projects are subject to copyright and image rights. This article aims to protect the organization’s IP, frame use of works/recordings, ensure privacy/image rights, and define conditions for use, distribution, and rights licensing.

7.2 IP Rights in Training Materials

All documents, media, videos, audio files, presentations, tutorials, compositions, software, templates, visuals, methods, and elements shared during training are the exclusive property of Studiomap SAS / Sound Academy, protected under French IP law, and may not be copied/transmitted/reproduced/exploited without prior written authorization. Unauthorized use is infringement and may lead to civil/criminal proceedings. Materials are strictly for personal educational use and may not be shared/sold/distributed/reused commercially or for other training/communication purposes.

7.3 Trainee Works Produced During Training

Works produced by trainees remain the trainee’s intellectual property as the author; however, Studiomap / Sound Academy retains a pedagogical and promotional usage right, including use of all/part of creations for communication (website, brochures, social media, presentation videos, showreels, etc.) without financial compensation, while respecting the author’s moral rights (credit by first name/pseudonym unless otherwise requested). Any commercial exploitation by the organization requires a separate written agreement.

7.4 Recordings, Captures, and Broadcasting

Audio/video/photo recordings may be made for pedagogical purposes (analysis, review, assessment, archiving) or promotional purposes (institutional communication, testimonials, reports, demos). Each trainee expressly authorizes the organization to film/photograph/record them within training activities and to use such images/excerpts on internal media (platform, archives) and external media (website, social networks, brochures, public presentations, communication campaigns). 7.5 Image Rights and Confidentiality

Each trainee retains rights over their image and privacy. The organization agrees not to distort or use images in a harmful context and to keep internal-use images confidential. The trainee may request removal of their image online or withdrawal of a personal video/photo, subject to a reasonable, justified request. Any trainee-made recording (audio/video/screenshot/social sharing) is strictly prohibited without prior written authorization; breach is serious misconduct (Article 4).

7.6 Collaborative Works

Where projects are created in groups, authorship is collective and the organization holds a non-exclusive right of use for pedagogical and promotional purposes. Any trainee wishing to publish group works publicly must obtain prior consent from all co-authors.

7.7 Right to Quote and Use of Trademarks

Use of the organization’s name, logo, trademarks, or visual identity is strictly controlled. Trainees may not present themselves as official representatives/trainers/spokespersons, use brands for personal/promotional/commercial purposes, or create branded content without written validation. Breaches may lead to legal action for trademark misuse and reputational harm.

7.8 Digital Data and GDPR

Data from projects, assessments, and recordings is processed in accordance with GDPR and used exclusively for pedagogical follow-up, Qualiopi evidence, and continuous improvement. Trainees may exercise rights of access/rectification/deletion with the DPO at:

7.9 Sanctions

Any breach (reproduction, distribution, modification, unauthorized exploitation of works/recordings/protected content) constitutes serious misconduct and may result in immediate exclusion, non-issuance of certificates, and civil/criminal proceedings.

Article 8 – Digital Framework (Remote Training)

8.1 General Principle

Sound Academy by Studiomap reaffirms its commitment to equal rights, equal opportunities, and non-discrimination in access to vocational training. In line with the French Labour Code and the French Education Code, it undertakes to ensure physical, digital, and pedagogical accessibility, promote inclusion of trainees with disabilities, and implement reasonable accommodations where possible.

8.2 Disability Contact Person

A disability contact person is appointed to welcome, listen, guide, assess needs, coordinate accommodations, and ensure compliance with Qualiopi requirements.

8.3 Identification and Accommodation Process

Before training begins, trainees may voluntarily report a disability, health condition, mobility constraint, or learning difficulty. The team will assess possible adaptations (content, pace, equipment, assessments) such as extra time, adapted materials, enhanced tutoring, or improved access. Feasibility is assessed against technical/safety constraints and certification requirements.

8.4 Venue Accessibility

Where possible, venues are accessible for reduced mobility and comply with safety/evacuation requirements. If a site is temporarily inaccessible, alternatives may be proposed (change of venue, remote/hybrid delivery, or rescheduling). The organization cannot be held liable for temporary partner-site constraints.

8.5 Digital Accessibility

Online platforms/tools are monitored for accessibility. Trainees may request alternative formats (accessible PDFs, subtitles, audio description) and technical assistance. Requests are handled promptly with the disability contact person and technical team.

8.6 Confidentiality and Dignity

Disability/health needs are treated as sensitive data under GDPR. No disclosure occurs without written consent; any discriminatory behavior is sanctioned as serious misconduct (Article 4).

8.7 Responsibility and Limits
